Distilling a Scent Bouquet - WO Assistant checklist

Distilling a Scent Bouquet allows participants to explore scent extraction and the distillation process. Distillation is the process of extracting essential oils from plant based materials. Using their own or materials from the Mediamatic grounds, the participants will distill their own artistic essential oil.

As a workshop assistant, your role is to buy fruits, prepare the space, ticketing, help out during the workshop and clean up after. Don't hesitate to print this assistant checklist and have it with you on the day of workshop!

Material checklist

For this workshop, you will need:

  • Citrus: 2 lemons + 2 oranges per participant [buy from any supermarket - keep the receipt!]
  • p.p. Wooden cutting boards and big knives [Dry storage / Aroma Lab]
  • A blender ( already in the Aroma Lab)
  • 1 p.p. + 2 extras Ice cones [Aroma Lab]
  • 2 Oil Ex Tech (essential oil machine) [Aroma Lab]
  • 2 200 ml beakers [Aroma Lab]
  • 1 p.p 50 ml long-necked beaker [Aroma Lab]
  • 1 p.p. Glass bottle 5ml with white top  [Aroma Lab storage in the Costume Lab]
  • 1 p.p. Glass bottle 50ml [Aroma lab storage]
  • 1 p.p. plastic pipette [Aroma Lab storage]
  • 1 Spatula [Kitchen]
  • 2 Cleaning cloths [Dry storage]

  • 1 White bio waste bucket [Kitchen]

To-do list

 

A week before the workshop

  1. Freeze ice cones.
    a. Find the ice cone molds in the Aroma Lab drawers.
    b. Check how many cones there are in the Aroma Lab freezer.
    c. You can freeze 3 cones at a time in the freezer, and they will need at least 12 hours to freeze. So for example, if you need 6 cones, and you will need to freeze them in badges of three, you need to make one badge on Thursday morning and the second badge on Friday morning.
  2. Buy citrus fruits. Contact Frank on Thursday about the amounts and check with your Backstager account how many people will attend the workshop.
  3. Make sure you have enough handouts.
  4. Tidy up the Aroma Lab and bring all the equipment into the Aroma Lab.

  1. Take an Aroma Lab entrance key (with the red tag on it) with you. If you arrive before Frank on the workshop day, you will be the first one in the building.
  2. Find out how to use the Oil Ex Tech machine at this link.

On the day of the workshop

  1. Set up the table and stools.
  2. Put out handouts, pencils, cutting boards, citrus. Put out water glasses and carafe on the high white table in the corner.

 

During the workshop

Welcome participants and scan tickets.

Help participants and keep the space tidy:

  • Help participants set up for their own distillation.
  • Clean blenders after each use.
  • Discard the microwaved materials into the bio bucket once they have been used.
  • Regularly wipe table tops.
  • Take a photo of the workshop. This can be, for example, an overview photo, a photo of the product, or a photo of the participants. When taking photos of participants, remember to ask for permission.

 

Timeline of the workshop

 

In the week before the workshop

Freeze ice cones; buy citrus fruit; print handouts; tidy up Aroma Lab and set up equipment; take a Mediamatic key with you.

Arrive at Mediamatic and help set up.

10:45

Participants will start arriving. Welcome them and scan their tickets.

11:00

Workshop starts. Brief introduction to distillation by Frank.

11:20

Frank shows how the traditional distillation machine works.

11:30

Participants pick ingredients from the Hortus Dijkspark (Mediamatic garden).

11:45

Frank explains the distillation equipment and makes an example distillation.

12:00

Participants make their own distillations. The assistant helps participants set up for their distillation, and cleans out blenders and extraction equipment (without causing thermal shock to the glass) after every use.

13:30

Time for questions and additional mixing of scents.

14:00

Workshop ends.

After the workshop

Clean up and help set up for the Composing Fragrance workshop.
